Job description:
The Role of the Administrative Assistant is to perform a variety of administrative and clerical tasks, supporting the medical review team and Century corporate office. ROLE AND RESPONSIBILITIES• Provides administrative support to ensure efficient operation of department(s)• Manage project schedule• Attend to detail, organize, and multi-task to ensure completion of projects• Write and distribute email, correspondence letters, and forms • Answers telephone calls promptly and courteously, screen calls routing to appropriate person, if needed. Determines if correspondence or follow up is needed. Phone calls might consist of, but not limited to support clients, schedule hearings, etc.• Responds to client emails/calls timely • Exhibits polite and professional communication via phone, email, and mail• Proficiently utilizes Microsoft Teams and Office Suite products to maintain seamless communication and keep the medical review team informed of the status of all projects.• Carries out administrative duties such as electronic filing, typing, copying, binding, scanning etc.• Process new claims and claims decisions from record requests through administrative law judge proceedings • Maintain and update claims in database• Gather and compile clinical records for timely submission to contractors using clinical software programs• Communicate with clients and customers to obtain required documentation to complete clinical records• Communicate with insurance companies and contractors on claims/claim status• Ensure documentation is received by the contractor by the established due date and followed up on in a timely manner• Remain compliant with HIPAA & Confidentiality policies/procedures and stay up to date with training• Use problem solving skills to identify, investigate and resolve department issues• Ensures operation of department, placing supply orders as required• Assists other departments as needed, ie. human resources, recruiting• Performs other duties and special projects as assignedSUPERVISORY RESPONSIBILITIESNo supervisory responsibilities. QUALIFICATIONS AND EDUCATION REQUIREMENTS• Associate Degree in Education, Associates, Business, Medical, Medical Billing, General Education, Finance, Accounting, Healthcare, Health Care• At least three years of administrative experience in the healthcare setting• Experience in working with third-party resources such as Medicare, Medicaid and Private Insurance, Contract Health or Coordination of Benefits, medical records, reception and patient registration a must.• Proven experience as an office administrative assistant with demonstrated proficiency in MS Office (Outlook Excel, Word, Teams) and Adobe• Prior appeals management experience preferred• Prior human resource experience is a plus
Knowledge of medical terminologyKnowledge of medical software is a must to access and interpret patient data
